FORTUNE 500 FINANCIAL INSTITUTION TRAINING - ASSET MANAGEMENT

 

In the digital arena, one of the most complex challenges for project managers is asset management. How do you effectively keep track of your files, which include multiple formats and versions? How do you efficiently share those files with team members who are not within your own network?

Each project brings its unique requirements, team dynamics, and time zones. Successful asset management has a profound and direct effect on workflow. Unsuccessful asset management can be the downfall of a project – one lost file can mean hours of additional work and a chain reaction of missed deadlines. Our experienced project management team specializes in solving complex asset management challenges by combining proprietary and off-the-shelf tools with a heightened attention to communication, organization and detail, and good dose of common sense.

This WBT is a graphics-rich course with over 400 screens – and a new image had to be produced for each one. Our client had already engaged an offshore vendor for the project, and had hired a large consulting firm to coordinate the project. When it became clear – late in the game - that the vendor could not handle the graphics portion of the project, they called on SweetRush. We quickly implemented a fast-track photography, screenshot and graphics optimization workflow to meet the now accelerated deadline.

We also became the communications and asset hub for the project after we set up the project in our Extranet, which includes a file-sharing tool that allows users to upload and download files. Users within our network used a standard file server interface, which allowed us to quickly save, rename and move files as the administrator of the Extranet. Our client reviewed images in JPG format online, and the other vendor downloaded them when approved, all within a password-protected, secure interface. All file formats and versions were saved with a file naming convention that referred to the screen number within the training.

The asset database that was established through the Extranet still exists as an archive today, so we can access the images whenever they are needed.

Our client was impressed not only with our ability to produce high-quality graphics and secure volumes of excellent photographic content quickly, but also with our attention to project management and asset management. We never lost a file, and we have since produced a series of additional projects from the same client team, which were also delivered successfully.

We believe very strongly in the benefits of rigorous and yet flexible project management, which allowed us to pitch in at the last moment and help this project achieve its goals.
